Separate “Check-Out” and “Check-In” Permissions
Summary:
Currently, StageStock ties the Check-Out and Check-In permissions together. Organizations have expressed a need to allow users to check items out while restricting who can check items back in. This separation would provide greater control, prevent accidental or inaccurate returns, and support workflows where only designated administrators complete the check-in process.
We are opening this enhancement request to gather feedback from the broader StageStock community.
Problem / Use Case:
Many organizations only want administrators (or a small subset of trusted staff) to complete the check-in process. Allowing general users to check items back in can lead to:
-Items are being returned to incorrect bins or storage locations
-Items being returned damaged without an administrator noting the condition
-Users forgetting to complete the digital check-in despite physically returning the item
-Long-term borrowed items being falsely checked in to remove them from the “Checked Out” report
-Users unintentionally creating location errors when returning items
This has resulted in significant backend cleanup and disorganization for administrators responsible for maintaining inventory accuracy.
Customer Insight
A customer managing a large prop inventory shared:
“We want our team to return items to a central location while administrators handle the digital check-in process. With the check-in button visible to everyone, users often forget not to use it, or they check items in trying to be helpful—causing more work on the backend.
I’ve spoken with several other inventory managers who follow a similar workflow. Most people on their team can check items out but do not check anything back in. Restricting check-in permissions to administrators would help us immensely.”
Proposed Enhancement
Separate the current combined permission into two distinct toggles:
-Allow Item Check-Out
-Allow Item Check-In
Only roles with the Check-In permission would see or be able to use the Check-In button.
