Add a call
🔵 VirtualCallboard
Add a call to put a rehearsal, meeting, fitting or work session on the schedule and tell people they're called. You'll need Add / Edit / Delete All Calls, or Add / Edit / Delete My Calls.
Start the call
- Go to Schedule > View Schedule.
- Click Add Call.
- Choose the Production, then enter a Title.
Fill in the details
- Pick a Call Type. If your role includes Manage Call Types, the gear beside it lets you add or edit types.
- Pick a Space. If your role includes Manage Spaces, the gear beside it manages your spaces. To type in a place that isn't on the list, choose Other, specify below and fill in if other, specify.
- Add any Notes. The formatting toolbar lets you add styles and links. You can also paste a Meeting Link for a video call.
- Choose Normal, All Day or Time TBD, then set the Start and End. Use Repeat if the call happens on a schedule.
- Choose Free or Busy. Busy marks the people you call (and the space) as unavailable for that time, and only Busy calls take attendance; Free doesn't. Then choose Closed Call or Open Call, and click Next.
Choose who's called
- Select the people. Pick them one by one on the Users tab, or pick whole groups on the group tabs. Find Available Users shows who's free at that time. For an open call you choose who's invited and set Number of people allowed to sign up. Click Next.
Review and save
- Check the summary. Tick Save as Draft if only people who can view drafts should see it for now. Tick Send Notification to tell the people you've called; the summary shows who gets what before you send.
- Click Save.
The window then shows the call's title and time, with three choices for what to do next:
- Add Similar keeps everything you entered, including the date and time. Change the timeframe before you save it.
- Add New opens a blank form, set to the current date.
- Return to Schedule takes you back to the page you were on.
To publish a draft later, open the call and click Publish, or publish several at once from Schedule > Draft Calls.
