Add several users at once from a spreadsheet
Import a spreadsheet of names and email addresses to create everyone's account in one go. You'll need both the Add User and Edit Any User & Private User Info permissions. The Administrative - Common Administrator role usually has both; the Manager role usually has only Add User, which shows the button but can't open the import.
Import the file
- Go to Administration > User Administration.
- Click Import Users from CSV at the top of the page.
- Click Click here to download a CSV template. and fill it in. Each row needs a first name, last name and email address, in that order. Delete the sample row first. If you start from your own list or export, keep the same three columns in the same order.
- Choose your CSV file.
- Look over the list that appears. A duplicate icon next to a first name, last name or email means that value already exists on your site; hover over it to see "Duplicate". Common names get flagged all the time, so that's often fine. If it really is a duplicate, click the red X in the Del column to leave that person out.
- Edit the Welcome Message if you like. The site link and sign-in details are added for you, and each person gets a generated username and password.
- Click Create Users. Each person is emailed an invitation, and the new people appear on the All Users tab. If someone doesn't get it, point them to I'm not getting email from VirtualCallboard.
Then put them on productions
Imported users aren't on any production yet. They're listed on the All Users tab of User Administration. Two ways to add them:
- On Administration > Production Administration, click the cog for a production, choose Manage Users, and check the new people. You'll then choose a role for each.
- Or, on User Administration, search for the person on the All Users tab, click the cog on their row and choose Edit, then assign productions and roles under Production Roles.
To add one or two people, see Add a user.
