Add several users at once from a spreadsheet

Import a spreadsheet of names and email addresses to create everyone's account in one go. You'll need the Add User permission (part of the Administrative - Common roles, such as Manager or Administrator).

Import the file

  1. Go to Administration > User Administration.

  2. Click Import Users from CSV.

  3. Click Click here to download a CSV template and fill it in. Each row needs a first name, last name and email address, in that order. Delete the sample row first. Prefer to start from your own list or export? Keep the same three columns in the same order.
  4. Choose your CSV file.

  5. Look over the list that appears. A double-page icon next to a first name, last name or email means that value already exists on your site. Common names get flagged all the time, so that's often fine. If it really is a duplicate, click the X at the end of the row to leave that person out.

  6. Edit the Welcome Message if you like. The site link and sign-in details are added for you, and each person gets a generated username and password.
  7. Click Create Users. You'll see Created the following users and a list of names, and each person is emailed an invitation. If someone doesn't see it, point them to Message Troubleshooting.

Then put them on productions

Imported users aren't on any production yet, so they won't show in your usual list. Two ways to add them:

  • On Administration > Production Administration, click the gear icon for a production, choose Manage Users, and check the new people. You'll then choose a role for each.
  • Or, on User Administration, set the production selector to All Productions, search for the person, and click Edit to assign productions and roles.
