Turn on TXT messaging for your site
TXT messaging is an add-on to your VirtualCallboard plan that sends call changes, notes and other notifications as text messages. An administrator turns it on for the site, and then each person turns it on for their own mobile number.
Add TXT messaging
TXT messaging is available with any paid plan and is billed along with it. Prices are on the pricing page. You'll need the Account Billing permission.
- Go to Administration > Invoices/Payments and click Change Subscription Package.
- In the TXT messaging card, click Add TXT messaging. Check the summary, then click Add TXT messaging again to confirm. If there's no card on file, you're asked for one first.
If you don't have access to Invoices/Payments, ask whoever handles billing for your account to add it. To cancel, use Cancel TXT messaging in the same card. Texts stop right away, and the rest of the billing period isn't refunded.
Check that it's on
Go to Administration > Site Administration > Notifications (you'll need the Modify Site Settings permission). Under TXT Messages, the status says TXT messaging is On and shows the From number, (972) 975-9797. Every text comes from that number. Ask your company to save it in their contacts.
See who'll get texts
Users enabled for TXT counts the people who have turned TXT on for a number:
- Confirmed: they replied YES and get TXT messages.
- Awaiting Confirmation: they turned TXT on but haven't replied YES yet. Nothing is texted to them until they do. They can reply YES to the text they got, or click Send Start Message (or Re-send Start Message) on their number for a new one.
- Replied STOP: they asked not to be texted. Texting START to (972) 975-9797 turns it back on.
Texts go only to numbers set to Mobile, and only to US numbers.
Tidy up first. Some people awaiting confirmation turned TXT on years ago. The page lists them, longest since signing in first. If someone has left, deactivate them in User Administration. Deactivated people never get texts.
When TXT messaging goes on, confirmed numbers get one text saying texts have started, and numbers that haven't been asked yet get one text asking them to reply YES. Numbers already asked aren't texted again.
Choose which notifications send a TXT
Under Which notifications send a TXT, each kind of notification has its own switch: Calls, Open call sign-ups, Notes and messages, Conflicts, Reports sent, Report discussion comments, Announcements, Discussions, Added to a production, and File share. They all start on. Switch one off and nobody gets that kind by text, though it still goes out by email and in the app. Each switch saves as soon as you flip it.
Calls text only when the manager ticks Send Notification, the same as email. And each person can turn TXT off for particular kinds in their own Notifications settings.
How people opt in
Each person adds their cell under My Account > Phone Numbers / TXT Messaging, sets it to Mobile, clicks Enable TXT Notifications and replies YES to the text. They can do this before your site adds TXT messaging, and texts start once it's on. You can click Enable TXT Notifications on someone's number from their profile in User Administration, but they still have to reply YES themselves. The full steps are in Get notifications by TXT message.
STOP and START
Anyone can reply STOP to any text to stop getting them (UNSUBSCRIBE, CANCEL, END and QUIT work too), and START or UNSTOP to turn them back on. YES confirms a number, and HELP or INFO gets a reply with support contact details. Any other reply isn't read by anyone, so ask your company to reply to you by email or phone instead.
