Who gets a notification, and how

Each person's own settings decide how a notification reaches them. When a notification goes out (for a call, when you tick Send Notification), every person gets it by each channel they have turned on: email, TXT, the app, or more than one.

  • Email goes to anyone with Receive Email from Site set to Yes under My Account > Addresses.
  • TXT message goes to anyone who has turned on TXT for a Mobile number and replied YES, as long as your site has TXT messaging and hasn't switched it off for that kind of notification.
  • App notification goes to anyone with app notifications on who is signed in on a phone.

On top of that, each person can turn any of the three off for particular kinds of notification in their own Notifications settings. Deactivated people get nothing at all.

If you're in the group you send to, you get it too, so you have a copy of what went out. Replies are different: when someone replies to a discussion, comments on a report or signs up for an open call, everyone else is told but they aren't.

Before you send a note, a discussion post or a shared file, the send summary on the form shows how many people will be reached by email, text and app, and who won't get anything and why. The call form shows the same before you save with Send Notification ticked.

To turn on TXT for your own number, see Get notifications by TXT message.
