Creating a Custom Permission Role

Purpose

To outline how to create a custom permission role and set specific access levels for users within your site's Administration settings.


What You Can Do

From the Manage Permission Roles screen, you can:

  • Create new custom permission roles

  • Select a permission type based on StageStock or VirtualCallboard needs

  • Customize which system actions each role can perform

  • Name roles according to job titles or workflow responsibilities

  • Standardize access for large teams or recurring seasonal users


How to Create a Custom Permission Role

  1. Navigate to:
    Administration Tab → Site Administration → Manage Permission Roles

  2. Click Add Role.

  3. Select the Permission Type for the new role:

    • Administrative — Common Permissions

    • Administrative — VirtualCallboard

    • Administrative — StageStock

  4. Enter a Role Name.
    Sites often choose job-based titles (e.g., Costume Shop Lead, SM Team, Designer Access, Student Admin).

  5. Select the permissions this role should include.

    • Common permissions appear in both VirtualCallboard and StageStock permission charts.

    • Use the charts to understand what each permission controls.

  6. Click Save to create the role.


Important Notes

  • New roles do not apply automatically — they must be assigned to users individually.

  • Review custom roles annually or per production cycle to ensure they still match your workflow.

  • Some permissions unlock administrative tools; testing with a non-critical account is recommended.
