Understanding Item History (Checkouts, Returns, and Edits)
Purpose
To outline what activity StageStock tracks for each item and where that information can be viewed.
What Appears in Item History
The History section on an item’s Detail Page provides a complete chronological record of the item’s usage and care. StageStock currently tracks:
Reservations

Whether a reservation is current, past due, or expired

When the item is needed

Expected return day/time
Checkouts

Every checkout, including:

Who checked the item out

What production it was assigned to

Scheduled return date/time

Check-ins
-
Date and time the item was returned
Item Maintenance

Recorded maintenance actions

Any associated maintenance costs
System Activity Details (Applies to All History Entries)
Every action displayed in the History includes:

The user who performed the action
-
The timestamp of the action
-
Any notes or comments associated with that action
This ensures a clear and consistent record across all reservation, checkout, return, and maintenance activity.
What Does Not Appear in Item History
To prevent unnecessary clutter, StageStock does not display a step-by-step edit/change log. Instead, items display:

The most recent edit date & time

The user who made the most recent edit
This preserves clarity while still providing essential accountability for modifications.
Where History Appears in the App

FAQs
Q: Can I search for items used in a past production?
Yes — there are two methods:

Advanced Search → Production dropdown
Shows items that have been checked out (current or past, once returned). -
Using Description Tags (optional method during digitization)
Example:
show: A Christmas Carol
This is searchable in basic and advanced search, but will not populate the “Production” dropdown filter.
Q: If an item was once checked out as a test, should that show in History?
Yes. Any completed checkout cycle — including tests — appears in the Item Detail history.
