How to Associate an Item With a Production in StageStock
Purpose
To explain how items become linked to a production, and what methods are available for tracking & searching an item’s production usage.
How Items Are Officially Associated With a Production
Currently, an item is linked to a production only when it goes through a checkout and return cycle:
-
Check out the item to a production.
-
Return it when the production concludes.
Once this happens, a production entry is recorded in the item’s History section, which is visible on the Item Detail page.
Alternative Method: Tagging Items by Production
If you want to associate items with a production without checking them out (e.g., during inventory uploads), you can use Description Tags.
Example Tag Format:
show: A Christmas Carol
Using tags allows you to:
-
Search the show name in the basic search
-
Search the tag directly using Advanced Search → Description Tags
This does not replace official production checkout history, but can be useful when digitizing or organizing stock.
Notes
-
Tags are flexible and fully customizable.
-
Tags are searchable across the entire database.
-
Historical checkouts will always appear only inside the Item Detail page.
