Give someone access to manage spaces and positions

Spaces are the rooms and buildings you schedule into and store things in, and positions are the racks, shelves and bins inside them. Managing spaces takes the Manage Spaces permission, and managing positions takes Manage Positions.

Give someone access

You'll need the Assign Administrative Roles to Users permission, which the Administrative - Common Administrator role usually has. Then go to Administration > User Administration, click the cog on the person's row, choose Edit, click Administrative Roles in the list on the left, and assign:

  • To manage spaces: in the Common row, the Manager or Administrator role, or a custom Administrative - Common role that includes Manage Spaces.
  • To manage positions: in the StageStock row, the Manager or Administrator role, or a custom Administrative - StageStock role that includes Manage Positions.

Tick the row's box to choose a role, then click Save Changes. The standard roles named here usually include those permissions.

Manage spaces and positions

From an item's form, click Set Location. The location window shows each space, with a cog beside it if you can manage positions.

  1. To add, edit or delete a space, click Manage Spaces at the top of the window. A space has a name, a room or building, an address and notes. Spaces also show up when you schedule calls, and the cog beside Space on Site Administration > Schedule opens Manage Spaces too.
  2. To add or delete positions, click the cog beside a space or an existing position. Positions can sit inside other positions, so you can go from a space to a rack to a shelf to a bin.

You only see the buttons your roles allow. If Manage Spaces or the cogs are missing, ask a site administrator to check your roles.
